Information we collect
Depending on your involvement with AFAN, we may collect:
- Your name, contact details, age group and location.
- Safe contact preferences and accessibility requirements.
- Information you provide when requesting support or making a referral.
- Attendance, feedback and records of support or signposting.
- Volunteer, partnership and donation information.
- Photographs, recordings, testimonials or creative contributions, where agreed.
- Limited technical information collected by our website, as explained below.
Information about health, ethnicity, religion or philosophical beliefs is particularly sensitive. We ask for it only where relevant and explain why it is needed.
Please do not include unnecessary medical details, descriptions of traumatic experiences or information about other people in our online forms.
Where information comes from
We receive information directly from you through forms, conversations, email and activities. We may also receive referrals from someone acting with your permission or information from a partner organisation.
If someone refers you, we will explain what information we received and how we intend to use it, unless a lawful exception applies.
Why we use your information
We use information to:
- Respond to enquiries and assess requests for support.
- Arrange safe contact, participation and accessibility adjustments.
- Deliver activities and coordinate appropriate referrals.
- Manage volunteers, partnerships, donations and charity administration.
- Understand participation and improve our work.
- Meet reporting requirements, using anonymous information wherever possible.
- Respond to safeguarding concerns and protect people from harm.
Providing information is generally voluntary. However, without essential contact or support information, we may be unable to respond or arrange suitable assistance. Optional information is identified on our forms.
Our legal reasons for using information
Depending on the purpose, we rely on:
Legitimate interests: To respond to enquiries, administer activities and manage relationships, where this is necessary and does not override your rights.
Consent: For optional communications and agreed uses of identifiable photographs, recordings and testimonials. You can withdraw consent by contacting us.
Legal obligations: Where a specific law requires us to keep records or disclose information.
Vital interests: In limited emergencies where processing is necessary to protect someone’s life.
For sensitive information, we also need a separate legal condition. For optional sensitive information used to arrange support or participation, we will seek explicit consent where appropriate. Any processing without consent, including safeguarding-related processing, must have an applicable legal condition.
Who we share information with
Information is accessible to authorised trustees, staff, volunteers or practitioners who need it for their role.
Where necessary, we may share relevant information with:
- Support organisations receiving an agreed referral.
- Partners helping deliver an activity.
- Service providers handling information on AFAN’s behalf.
- Authorities or safeguarding services where disclosure is lawful and necessary.
- Funders or auditors where required, using anonymous or aggregated information wherever possible.
We do not sell your personal information. We will normally discuss onward referrals with you before sharing information. Disclosure without permission may be necessary to protect someone from serious harm or meet a legal requirement.
Photographs, recordings and community groups
We will explain the intended use of identifiable photographs, recordings or testimonials and seek appropriate permission. You can attend activities without agreeing to publicity.
For optional WhatsApp groups, other members may see your telephone number, profile information and messages. We will explain this before you join. Please do not share confidential referral or support information in group chats.
Withdrawing permission can stop future uses under AFAN’s control, but we may be unable to retrieve printed materials or copies already shared by others.
How long we keep information
We keep information only for as long as needed for its purpose, considering safeguarding needs, legal requirements and funder conditions. We then securely delete or anonymise it.
How long we keep your information
AFAN keeps personal information only for as long as necessary for its purpose. Our retention periods are:
| Record type | Retention period or criteria |
|---|---|
| General enquiries | Up to 12 months after the enquiry is resolved. |
| Referrals that do not lead to support | Up to 12 months after the referral is closed, unless safeguarding concerns require longer retention. |
| Support records | Normally three years after support ends, with longer retention only where justified by safeguarding, legal or contractual requirements. |
| Identifiable attendance and feedback records | Normally two years after the activity or project ends, unless a funder requires longer retention. Anonymous statistics may be retained longer. |
| Safeguarding records | Retained under a separate safeguarding retention schedule, taking account of the person’s age, the concern, relevant guidance and any investigation or legal proceedings. These records are reviewed before disposal. |
| Financial and grant records | Normally six years after the relevant financial year ends, or longer where applicable legal or grant conditions require it. |
| Photographs, recordings and testimonials | Reviewed annually and normally retained for up to three years, unless a longer use has been specifically agreed. Consent records are retained while the material is used and for an appropriate period afterwards. |
Records needed for an ongoing complaint, investigation or legal claim will not be destroyed until the matter is resolved and any further retention requirement has been assessed.
At the end of the retention period, information is securely deleted, destroyed or anonymised. Where consent is withdrawn, we stop future consent-based use and remove material from channels under our control where practicable.

We use appropriate access controls and organisational safeguards to protect information.
